Role Description This is a full-time remote role for an Executive Assistant to the Chief Executive Officer at Spark AI. The Executive Assistant will manage the CEO’s calendar, schedule meetings across time zones, coordinate travel, and prioritize daily activities to ensure effective time management. Responsibilities include preparing and organizing meeting materials, taking and distributing notes, tracking action items, and maintaining clear communication between the CEO and internal and external stakeholders. The role also involves managing expense reports, handling confidential information with discretion, drafting and reviewing correspondence, and supporting the CEO with presentation preparation and follow-up tasks. The Executive Assistant will proactively identify and resolve administrative bottlenecks, support the coordination of executive projects, and provide general administrative assistance to help the CEO focus on strategic priorities.
Qualifications

Qualifications
- Strong executive administrative support skills, including Executive Administrative Assistance and Executive Support for C-level leaders.
- Proficiency in Diary Management, including calendar coordination, meeting scheduling, and prioritization of competing demands.
- Experience with Administrative Assistance tasks and processes, including document preparation, correspondence, and stakeholder coordination.
- Ability to manage Expense Reports and related financial administration accurately and on time.
- Excellent written and verbal communication skills, with strong attention to detail and professionalism.
- High degree of integrity, discretion, and reliability when handling sensitive and confidential information.
- Comfort with remote work environments and collaboration tools (e.g., video conferencing, shared documents, project management platforms).
- Strong organizational and time-management skills, with the ability to multitask and adapt in a fast-paced setting.
- Prior experience supporting executives in technology, AI, or high-growth environments is preferred.
- Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field, or equivalent practical experience.
