POSITION OVERVIEW
The Procurement Executive will be responsible for managing end-to-end procurement activities, ensuring the timely acquisition of goods and services while maintaining compliance with organizational policies, regulatory requirements, and cost optimization objectives. The role requires strong vendor management, negotiation, contract coordination, and stakeholder engagement capabilities.
KEY RESPONSIBILITIES
- Receive, review, and process purchase requisitions in accordance with approved procurement policies and procedures.
- Source and evaluate vendors and suppliers to ensure competitive pricing, quality standards, and timely delivery.
- Prepare and issue RFQs, RFPs, and RFIs as required.
- Obtain, compare, and evaluate supplier quotations to achieve the best value for the organization.
- Negotiate pricing, payment terms, delivery schedules, warranties, and service agreements with suppliers.
- Prepare Purchase Orders (POs) and ensure compliance with the approved authorization matrix.
- Coordinate with vendors and internal stakeholders to ensure timely delivery of goods and completion of services.
- Develop, maintain, and regularly update supplier databases and approved vendor records.
- Conduct supplier performance evaluations and recommend improvements where necessary.
- Coordinate with the Legal Department for contract reviews, drafting, execution, and management of service agreements and SLAs.
- Ensure procurement activities comply with company policies, regulatory requirements, and audit standards.
- Maintain complete procurement documentation, including quotations, comparative analyses, purchase orders, contracts, invoices, and correspondence.
- Monitor procurement budgets, spending trends, and identify cost-saving opportunities.
- Coordinate with Finance and Accounts for invoice verification, payment processing, vendor reconciliations, and procurement reporting.
- Prepare periodic procurement reports, vendor performance reports, savings reports, and management summaries.
- Support internal and external audits by ensuring accurate and complete procurement records.
SKILLS & EXPERIENCE
Technical Skills
- Strong understanding of procurement processes, sourcing strategies, and vendor management.
- Experience with RFQs, RFPs, RFIs, contract management, and supplier negotiations.
- Knowledge of procurement governance, compliance requirements, and audit standards.
- Strong analytical and commercial evaluation skills.
- Proficiency in Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
- Experience with ERP systems and procurement management tools is preferred.
- Strong documentation, reporting, and record-keeping capabilities.
Preferred Experience
- Experience managing end-to-end procurement activities in a corporate environment.
- Exposure to supplier evaluation, contract administration, and procurement budgeting.
- Experience coordinating with cross-functional teams including Finance, Legal, Operations, and Business Units.
- Familiarity with procurement best practices, supplier performance management, and cost optimization initiatives.
QUALIFICATIONS
- Bachelor's degree in Supply Chain Management, Business Administration, Commerce, Procurement, or a related field.
- Professional certifications in Procurement, Supply Chain, or Contract Management will be considered an advantage.
- 2–5 years of relevant experience in procurement, sourcing, purchasing, or supply chain operations.
