Tender Specialist

Job Purpose

To manage the complete tendering process, including tender identification, documentation, compilation, submission, and follow-up, ensuring accuracy, compliance, and timely execution in coordination with Sales and other relevant departments.

Qualification & Experience

• Bachelor's degree in Medical Sciences /Biomedical Engineering.
• 2–3 years of proven experience in tender management and documentation, preferably in the healthcare, pharmaceutical, medical devices, or diagnostic industry.
• Practical knowledge of government and private-sector tendering procedures.
• Hands-on experience with EPADS is highly preferred.

Key Responsibilities

• Identify and monitor tender opportunities through EPADS, government portals, hospitals, and other procurement platforms.
• Manage the complete tender lifecycle, including hunting, evaluation, preparation, compilation, submission, and follow-up.
• Prepare and review tender documents, bidding forms, declarations, authorization letters, and other required correspondence.
• Ensure accurate and timely submission of technical and financial bids in compliance with tender requirements.
• Handle EPADS registration, document uploading, electronic bidding, and online tender submissions.
• Review tender specifications, eligibility criteria, terms and conditions, and identify potential compliance gaps.
• Prepare and respond to tender clarifications, queries, grievances, objections, and evaluation-related correspondence.
• Coordinate with Sales, Finance, Supply Chain, Regulatory Affairs, and relevant Business Units for product specifications, pricing, approvals, and supporting documents.
• Develop tender response strategies and maintain standard documentation templates, baselines, and checklists.
• Maintain comprehensive tender records, including submitted, awarded, rejected, and upcoming tenders, bid securities, and performance guarantees.
• Utilize SAP for relevant tender-related activities, documentation, and coordination.
• Prepare tender status reports and ensure timely follow-ups with concerned departments and procurement authorities.

Skills & Competencies

• Strong understanding of tender management, compilation, and bidding procedures.
• Hands-on knowledge of EPADS and e-procurement platforms.
• Good understanding of healthcare terminology, particularly medical devices, diagnostics, and pharmaceutical products.
• Strong drafting, documentation, and correspondence skills.
• Proficiency in MS Office, particularly Excel and Word, with working knowledge of SAP.
• Excellent coordination, organizational, and follow-up skills.
• High attention to detail, accuracy, and ability to meet tight deadlines.
