Purpose
The position serves as a crucial link between the procurement department and the operational side of the business. Its primary responsibility is to seamlessly integrate pre-qualified contractors into various distribution projects. This involves strategically identifying and hiring contractors who meet the company's quality and efficiency standards. The goal is to assign these contractors to suitable distribution projects, aligning their skills with project requirements. Moreover, the role includes monitoring contractor performance, ensuring adherence to project timelines within budgetary limits and quality expectations. Furthermore, the position conducts regular audits of contractors' store locations to verify compliance with company policies and industry regulations. It also implements performance improvement measures and provides feedback to enhance contractor efficiency.
Education & Relevant Experience
Bachelor's degree in business management, preferably MBA supply chain.
Minimum of 2 to 3 years of experience in procurement, contract management and audits in project related environment.
Knowledge
Strong understanding of the distribution industry and project management principles.
Proven ability to manage multiple projects and priorities.
Proven track record of managing complex contracts and working collaboratively with procurement teams.
Skills
Excellent communication, negotiation, and interpersonal skills.
Detail-oriented with strong analytical and problem-solving abilities.
AREAS OF RESPONSIBILITY
Contract Management
Serve as the primary liaison between procurement, integrated business centers, and other stakeholders to ensure contract terms are favorable and support the organization’s strategic initiatives.
Should be able to voice the legitimate concerns of contractors in areas needing reciprocity from KE incumbents to improve working conditions.
Should be able to create and promote a WIN WIN situation when it comes to finalizing the contractual obligations of contractors for creating a congenial environment
Should always be open to hear the work related grievances of contractors with an amicable demeanor to resolve the befalling issues.
Must carry the vision for contractual capacity enhancement and should always be on a look out for adding new partners of desired professional stature on mutually agreeable and beneficial terms.
Should have active knowledge of contractual rates and their applicable areas to steer both user and contractor towards resolution as and when situation warrants.
Should be able to judge , ascertain new service code developments in collaboration with user and procurement in situations that demand improvisation due to unprecedented nature of work involved.
Should be able to disseminate his knowledge and skill down the line to his team mates and create cohesiveness amongst all to serve commonality of objectives.
Manage the entire contract lifecycle from development through negotiation, execution, and analysis. Ensure contracts are up-to-date and reflect current business practices and market conditions.
Develop and implement contract strategies that align with procurement and business goals.
Oversee the execution of contracts, ensuring they deliver value and efficiency.
Work closely with procurement to negotiate contracts, manage budgets, and streamline the contractor onboarding process.
Oversee the hiring process to ensure a match between contractor capabilities and project needs.
Assign contractors to distribution projects based on their qualifications and the project requirements.
Partner with the procurement team to align contract management strategies with procurement objectives and supplier selection.
Build and maintain strong relationships with contractors and suppliers, acting as the main point of contact for contract-related inquiries.
Identify and mitigate contractual risks in collaboration with procurement and legal departments.
Continuously improve contract management processes in partnership with procurement to enhance efficiency and effectiveness.
Ensure all contracting activities comply with company policies and legal requirements, and support procurement in vendor compliance and audits.
Performance Management
Develop and implement performance management systems to monitor and evaluate contractor performance against project deliverables.
Act as the primary point of contact between the company and pre-qualified contractors, facilitating communication and resolving any performance-related issues.
Ensure that all project activities carried out by contractors meet the company’s quality standards and comply with industry regulations.
Identify areas for performance enhancement and work with contractors to implement improvement plans.
Generate regular reports on contractor performance, providing insights and recommendations to senior management.
Conduct audits and reviews to ensure contractors adhere to contractual agreements and company policies.
Work closely with procurement and integrated business centers to align contractor performance management with overall business objectives.
Pre-qualified contractor Location Audit
Develop and implement audit strategies tailored to contractor store operations.
Conduct audits to assess the efficiency and compliance of store operations with project specifications and company policies.
Identify and evaluate risks associated with store operations and suggest mitigation strategies.
Ensure that store activities adhere to legal, regulatory, and contractual obligations.
Prepare detailed audit reports, highlighting findings and providing actionable recommendations for improvement.
Monitor the implementation of audit recommendations to ensure continuous operational enhancement.
Communicate effectively with procurement, project managers, and contractors to align store operations with overall project goals.
People Management
Identifies training requirements of the Staff; Contributes to performance management of direct reports; Manages development, career planning and engagement of subordinates in coordination with HR.
Handles administrative issues including recruitment, leaves, grievances, and other issues; Provides guidance to the direct reports as and when required.
Creates team-spirit and ensures seamless interaction among team members; Ensures parity among subordinates with regards to learning and growth opportunities
Creates a conducive working environment to build and sustain an engaged and committed team.
Safety
Ensure Safety Training, MSAs, Safety Parade, SLA, and Fire Safety & Environmental.
Safety Auditee, ERP Implementation through Fire Emergency Drills, HIRA Activity, and Incident Investigations.
Should be able to influence the contractors to improve Safety and Quality assurance practices against time to time lagging observations for rectification
