Job Description

We are looking for a highly proactive Executive Assistant whose key strength is strong communication. This role is not limited to a single domain; responsibilities vary based on ongoing needs. Sometimes you will conduct research, sometimes you will reach out to clients or teams, and at other times you will manage invoice follow-ups or handle meeting bookings. The ideal candidate is adaptable, organized, and able to support multiple functions with clarity and consistency.


Key Responsibilities:

  • Serve as the central point of communication between teams, clients, and stakeholders.
  • Support a wide range of tasks: research, outreach, invoice follow-ups, meeting bookings, and general administrative duties.
  • Manage schedules, meetings, and events in the Canada time zone.
  • Follow up consistently on tasks, projects, and commitments to ensure deadlines are met.
  • Maintain confidentiality and professionalism in all communications.
  • Proactively identify potential bottlenecks and provide solutions to improve processes.


Requirements

  • Minimum 2 years of experience as an Executive Assistant or similar role.
  • Experience working remotely with international teams across different time zones.
  • Strong understanding of business operations and ability to collaborate with multiple teams.
  • Ability to manage multiple tasks independently and follow through consistently.
  • Proactive problem-solver who communicates clearly and effectively.
  • Exceptional written and verbal communication skills are critical.
  • Strong organizational skills with attention to detail.
  • Tech-savvy and familiar with modern communication and productivity tools.
  • Flexible and adaptable to changing priorities.
