We are seeking a highly organized and proactive Remote Executive Assistant to support a busy CEO managing multiple businesses. This role requires exceptional time management skills, attention to detail, and the ability to prioritize effectively across various tasks and time zones. The Executive Assistant will handle complex calendar and diary management, ensuring seamless coordination across all business functions and personal commitments.

Key Responsibilities:

  • Calendar and Diary Management: Efficiently manage the CEOs calendar across different businesses, scheduling and prioritizing meetings, appointments, and travel arrangements to optimize time and availability.
  • Meeting Preparation and Coordination: Arrange and confirm meeting agendas, prepare relevant documents, and coordinate logistics to ensure all necessary information and materials are available.
  • Travel Coordination: Organize detailed travel itineraries, including booking flights, accommodation, and transportation, and provide real-time support if adjustments are needed.
  • Email and Communication Management: Monitor and prioritize the CEOs emails, draft responses as needed, and manage communication flows with internal teams, clients, and external stakeholders.
  • Task and Project Management: Track tasks and projects, ensuring that deadlines are met and that the CEO is briefed on key milestones and deliverables.
  • Document Management: Organize and maintain files, contracts, and other important documents for easy retrieval and reference.
  • Confidentiality and Discretion: Handle sensitive information with the utmost confidentiality and professionalism, ensuring that all interactions maintain the CEOs privacy and trust.
  • Proactive Problem-Solving: Anticipate needs, identify potential scheduling conflicts, and proactively resolve issues to enhance productivity and efficiency.


Key Qualifications:

  • Proven experience as an Executive Assistant, Personal Assistant, or similar role, ideally supporting a C-level executive.
  • Exceptional organizational skills and attention to detail.
  • Strong communication skills, both written and verbal.
  • Proficiency in using digital tools such as Google Workspace, Microsoft Office, Zoom, and scheduling software.
  • Ability to work independently, prioritize tasks, and manage multiple projects simultaneously.
  • High degree of discretion and confidentiality.
  • Ability to adapt to changing priorities and work effectively under pressure.


Preferred Skills:

  • Familiarity with project management software (e.g., Asana, Trello, or Monday.com) is a plus.
  • Experience working across international time zones.
  • Background in supporting executives in diverse business fields.
