Job Title: Head of Accounts and Operations (Fuel Division) Location: On Site Reports to: GM & CEO

Position Overview: The Head of Accounts and Operations will play a strategic leadership role within the fuel division, responsible for overseeing and optimizing three critical departments: Fuel Pricing & Ordering, Finance (QuickBooks - Fuel), and Tank Reconciliation. This role will ensure seamless operations, financial accuracy, regulatory compliance, and data-driven pricing strategies across all fuel-related activities.

Key Responsibilities

  • Leadership & Strategic Oversight Lead and manage cross-functional teams across the three departments.
  • Develop and implement SOPs to streamline operations and improve interdepartmental workflows.
  • Provide strategic direction for fuel procurement, financial reporting, and tank monitoring functions.
  • Establish KPIs and performance benchmarks to drive efficiency and accountability.
  • Fuel Pricing & Ordering Oversee daily and long-term fuel pricing strategies to maximize profitability and competitiveness.
  • Coordinate fuel purchasing, delivery scheduling, and vendor relationships.
  • Analyze market trends, wholesale fuel prices, and historical data to guide purchasing decisions.
  • Finance (QuickBooks - Fuel) Supervise all financial operations for the fuel division using QuickBooks.
  • Ensure timely reconciliation of accounts payable/receivable, payroll, and vendor payments.
  • Generate financial reports and dashboards for executive leadership.
  • Collaborate with auditors and ensure compliance with tax and financial regulations.
  • Tank Reconciliation (Fuel) Oversee fuel inventory management and reconciliation processes.
  • Ensure accurate tracking of fuel inflow/outflow across all store locations.
  • Investigate and resolve discrepancies in tank readings, deliveries, and POS data.
  • Ensure compliance with EPA and state-level fuel storage regulations.

Qualifications

  • Master’s degree in Accounting, Finance, Business Administration, or related field (MBA/CPA/ACCA preferred).
  • 7+ years of experience in operations and financial management, preferably in the retail fuel/convenience store sector.
  • Proven experience with QuickBooks and fuel-related inventory systems.
  • Strong analytical, problem-solving, and leadership skills.
  • Knowledge of fuel pricing models, vendor negotiations, and tank compliance standards.
  • Exceptional communication and team management skills.

Preferred Skills

  • Experience with back-office systems related to fuel POS, tank monitoring, and inventory.
  • Familiarity with environmental compliance in fuel storage and sales.
  • Ability to thrive in a fast-paced, multi-location retail environment.
