Position Summary
The HR Administrator plays a crucial role in the smooth operation of the human resources department within an organization. This position combines administrative expertise with a fundamental understanding of HR practices, policies, and procedures. The primary responsibility of an HR Administrator is to provide essential support to the HR team and ensure the efficient management of various HR functions.
Responsibilities:
Onboarding
- Ensure that all documentation related to the interview process is retrieved and aligns with the onboarding checklist. Submitting tech requests, enrolling on biometric machine, providing
- ResourceInn credentials, setting up employee cards, and managing benefit enrollment.
Employee Records Management
- Maintaining accurate and up-to-date employee records, managing employee databases and HRIS (ResourceInn), handling documentation related to employee status changes, promotions, transfers, and terminations.
- Managing HR documentation, files, and correspondence, and maintaining accurate employee records for all former and current employees.
Employee Separation
- Decommissioning employees, removing from biometric, and collecting employee card or any company equipment.
Attendance and Leave Management
- Tracking and managing employee attendance and leaves, ensuring compliance with company leave policies and regulations.
Training and Development
- Assisting in creation of training materials and resources, and assisting in conducting HR-related trainings for all employees.
HR Policies and Procedures
- Assisting in the development and implementation of HR policies and procedures, communicating HR policies to employees, and ensuring compliance.
Employee Relations
- Handling and addressing conflict, addressing employee inquiries and concerns related to HR matters including company transportation, employee medical, providing experience letters when needed, tax-related queries.
Performance Management
- Assisting in coordinating performance reviews, and assisting in maintaining all corrective actions and disciplinary documents in a centralized location.
Data Reporting and Analysis
- Compiling HR-related data and generating reports.
Compliance
- Collaborating with relevant departments and building management to ensure compliance with health and safety requirements, and ensuring HR practices are in line with legal requirements.
Payroll Processing Support
- Assisting with timesheet preparation and basic salary inputs, supporting commission, incentive, and bonus calculations, helping coordinate employee deductions and payslip distribution, and liaising with Accounts for payroll disbursement.
Employee Events and Engagements
- Organizing company events, peeks into personality activities, and wellness programs.
Requirement:
- HR support or assistant role required
- Bachelor's degree in human resources or a related field is preferred
- Relevant certifications, if any
- Experience with employee record-keeping and data management is beneficial
- Familiarity with HR policies, procedures, and compliance requirements is important
- Familiarity with HR software systems, databases, or applicant tracking systems (ATS) is preferred
- Excellent organizational and communication skills
- Ability to handle confidential information
- Proficiency with MS Office Suite, HRIS systems, and other HR-related software programs
- Basic understanding of employment laws and regulations
