Purpose
The purpose of this Position is to manage schedule of HOD, ensure proper documents and data management for the entire department ensuring that all letters, invoices, internal documentation / memos and correspondences received by each department function are properly managed and manage a central database for agreements and key documents.
Education & Relevant Experience
Bachelors of Commerce or similar having upto 1 years of experience.
AREAS OF RESPONSIBILITY
Purpose
The purpose of this Position is to manage schedule of HOD, ensure proper documents and data management for the entire department ensuring that all letters, invoices, internal documentation / memos and correspondences received by each department function are properly managed and manage a central database for agreements and key documents.
Education & Relevant Experience
Bachelors of Commerce or similar having upto 1 years of experience.
AREAS OF RESPONSIBILITY
- Ensure proper maintenance of letters and other correspondences documentation for the entire department.
- Maintain comprehensive databases in Excel, including Contractor letters, communication with Contractors, invoices, internal Purchase Orders (IPOs), and other critical project data.
- Efficiently manage, store & record correspondence including document flow from and to different contractors, consultants, authorities and other stakeholders.
- Ensure compliance with the relevant regulations and KE policy for data retention requirements.
- Manage central data base for Agreements and other key documents to develop Institutional memory
- Performs regular backups to ensure data preservation as well as sort organize and store hardcopies.
- Maintain Schedule of HOD and coordinate for meetings.
- Support HOD in follow ups of tasks, team meetings and related tasks.
