Job Title: Project Coordinator

Position Summary:

The Takeoff Coordinator is responsible for supporting the successful execution of project-related tasks, working closely with the Project Manager and various stakeholders. The ideal candidate will ensure accurate documentation, efficient project coordination, and effective communication across teams. This role demands a high level of attention to detail, technical expertise in takeoff software, and excellent organizational skills to ensure the smooth delivery of projects from initiation to completion.

Key Responsibilities:

  • Stakeholder Collaboration: Act as the liaison between project stakeholders, including clients, general contractors, subcontractors, and insurance adjusters, ensuring clear communication regarding project requirements, bids, and deliverables.
  • Project Planning & Implementation: Assist in the planning and execution of projects, coordinating tasks, managing timelines, and ensuring that all deliverables are met according to the project schedule.
  • Data Analysis & Documentation: Review and analyze project data, including technical drawings, specifications, and materials. Ensure accurate takeoff documentation is produced and maintained.
  • Task Management: Execute duties as directed by the Project Manager, ensuring all tasks are completed efficiently and in alignment with project goals.
  • Software Proficiency: Utilize takeoff software, including OCR and other relevant tools, to perform accurate and efficient material and service takeoffs. Ensure the effective use of these systems throughout the project.
  • Project Documentation: Maintain accurate project documentation in both hard and digital formats. Ensure timely updates of project information into internal and external systems, ensuring compliance with applicable codes, standards, and policies.
  • Coordination & Communication: Work closely with project teams, subcontractors, and general contractors to coordinate mitigation and restoration activities. Address any questions or concerns from stakeholders to ensure smooth project progression.
  • Scheduling & Progress Tracking: Monitor project changes, update schedules as needed, and track the progress of ongoing projects, providing timely updates to the Project Manager and relevant parties.
  • Reporting & Filing: Prepare and edit scopes of work, budgets, estimates, and correspondence. Organize and submit necessary project documentation upon completion, ensuring all required client information is provided promptly.
  • Safety Compliance: Adhere to all safety policies and procedures, participating in the promotion of a safe working environment. Ensure the safe operation of equipment as required.
  • Quality Assurance: Monitor compliance with project specifications, quality assurance/quality control (QA/QC) policies, and industry standards to ensure the highest level of performance.

Requirements

  • Graduation with minimum 2 years of experience in same capacity
  • Proven experience in project coordination or takeoff roles, preferably in construction or engineering sectors.
  • Proficiency in takeoff software (OCR or similar tools) is essential.
  • Strong analytical skills with the ability to interpret project data, technical drawings, and specifications.
  • Excellent organizational, communication, and time management skills.
  • Ability to work effectively both independently and in a team environment.
  • Detail-oriented with a commitment to delivering high-quality work.
  • Understanding of safety principles and practices in project environments.
