Prosition Objective:The Logistics & ICT Associate has responsibility for management of logistics activities at Hyderabad base with the support of Log Officer (Sindh) & HOD Log (Capital). The post holder is responsible for ICT management, equipment & inventory management & premises management, facilitate audits and ensuring effective and accountable logistics support to ACF programs at Hyderabad base
Relevant Experience: Master's Degree in Logistics, Business, IT or other related field, Minimum 03 years of relevant exerperience OR Bachelor's degree in Logistics, Business, IT or other related field with minimum 05 years of relevant experience
Job Description:
Mission 1: Contribute to the definition of mission strategy
The Logistics & ICT Associate is responsible for:
- Preparing logistics data, ICT, equipment & inventory and premises to update team on regular basis
- Support Logistics officer/HOD Log in producing high quality and timely logistics contributions to "proposals" and reports for funding agencies
Mission 2: Coordinate logistics at Hyderabad base
The Logistics & ICT Associate is responsible for:
- Adhere ACF logistics regulations and ensuring compliance with them
- Support on logistical activities at capital/bases
- Ensuring that logistical commitments made to funding agencies are respected and implemented at timely manners
- Support in producing quality & timely reports related to logistics for different donors/HQ/Mission
- Ensure safety standards including electrical standards are maintained at all bases across Emergency Program working areas.
Mission 3: USER MANAGEMANENT & USERS SUPPORT
The Logistics & ICT Associate is responsible for:
- User management of the ACF Sindh staff.
- Creation of user accounts for new joiners.
- Manage authorisation of user’s usage according to the ACF ICT standards.
- Activation and deactivation of users according to the ACF policies.
- Training and ICT orientation for new joiners.
- Maintain user’s ICT assets record.
- Responding to daily requests to create and modify email addresses, NHF Access and teams User group.
- Responding to daily ICT support request troubleshoot and fixed it.
Mission 4: DATA MANAGEMENT/BACKUP
The Logistics & ICT Associate is responsible for:
- Implement Data security procedures and policies to ensure data protection.
- Keep data and other mission related softwares/tools secure using data protection tools by ACF.
- Monthly backup of user’s data to the dedicated folder in other then Windows Drive, Online (OneDrive) and external drive.
- Ensuring antivirus software usage guidelines are respected, that updates are deployed at individual workstations and that antivirus protection is constantly monitored.
- Ensure that the data back-up system is done on weekly or monthly bases (back-up policy).
- Deployment, Installing and maintaining local networks in ACF offices as per ACF ICT standards (Internet, router, Wi-Fi AP, NAS server, Internet modem).
Mission 5: CONFIGURATION/TROUBLESHOOTING
The Logistics & ICT Associate is responsible for:
- Configuration and troubleshooting of Networks and network equipment.
- Configuration and troubleshooting of laptops, printers, scanners, and other IT related equipment’s.
- Configure official email accounts of users.
- Ensuring ICT workstations adhere to ACF standards.
- All the IT repairs cards, transfer sheet, equipment issue forms are updated and placed in hard files and also on NHF.
- Creation of ICT Procurement line number.
- Ensure the supplier for IT repair work are properly identified.
Mission 6: ACF ICT EQUIPMENT/ASSETS DATABSE & INVENTORY MANAGEMENT
The Logistics & ICT Associate is responsible for:
- Ensure that the inventory and equipment list are updated as per standard format of the Action Against Hunger.
- Update and verification of ICT equipment & inventory list on monthly basis.
- Maintaining computers, printers/scanners and conducting daily/monthly checks to ensure that maintenance tasks have been executed.
- Ensure that all the office equipment’s are working properly, and should have back up system in case of need.
- Ensure that ID cards are opened after purchase of any new equipment and equipment tagging is done immediately to ensure good tracking system.
- Ensure all the Equipment’s files are updated up to the mark and available for any audit by donor or management.
- Prepare any technical items to be sent to the projects and ensuring it is in good working order with the necessary transport documents through the right channel as per nature of equipment and sensitivity.
- Respect Action Against Hunger physical inventory management requirements (organisation, cleaning, ventilation, protection from external elements, etc.).
- Tag all the inventory with proper inventory number having detail of the purchase and maintain proper and updated inventory list of the officer furniture or other non-consumable items.
- Physical verification of the office inventory on quarterly bases.
- Be accountable at all times for all items in the office and compound that are under his/her responsibility
Mission 7: Premises Management
The Logistics & ICT Associate is responsible for:
- To ensure the smooth logistical running of the base under the supervision of Log Manager.
- To ensure the facilities are up to Action Against Hunger standards, Office, Guest House, Parking Lot.
- To ensure that all the electricity work is in properly done with back-up generator.
- To identify the supplier for the proper base running that’s includes, Plumber, electrician and carpenter and other related to the office maintenance.
- Contract Management of all the lease facility.
- Ensure the generator is working properly and having maintenance as per schedule.
- Ensure meeting room is cleaned after meetings.
- Maintain Diary for meeting room and ensure room suitably prepared for meetings.
- Be responsible for issuing stationary and ensuring stocks always available, stock report of consumable items at base level, mainly stationary.
- Arrange the TCS once got form any department & maintain IN/OUT dispatch register.
- Ensure to have proper Kitchen, Office & Guesthouse's Hygiene & Kitchen items to be in place daily
Mission 8: Periodic Reporting:
The Logistics & ICT Associate is responsible for:
- Ensure the preparation of weekly, monthly, and end of project reports as per set guidelines and time frames
- Ensure submission of monthly ICT report, Equipment & Inventory report and office consumable supplies (stationery, drinking water, hygiene & kitchens supplies) on monthly basis to Logistics officer and all relevant program staff.
- Mission 9 : Ensure compliance with ACFs gender equality, child protection sensitivity and Safeguarding policies
The Logistics & ICT Associate is responsible for:
- Read and ensure a full understanding of ACFs Gender, Child Protection and other safeguarding policies
- Implement all work related activities with a gender, inclusion and child protection lens
- Help build an inclusive office environment where people do not feel disadvantaged or judged according to their gender or limited due to manageable disability
Skills Required:
- Strong project management skills
- Substantial experience in Humanitarian responses
- Excellent coordination and interpersonal skills
- Able to analyze and summarize complex technical and contextual information
- Fluent in English, reading writing and speaking. Fluency in local language of the program implementation area will be preferred
- Excellent computer skills
- Team management skills
- Ability to handle stress and pressure
