Position Purpose:
The Admin & IT Manager is responsible for overseeing and ensuring the smooth, efficient, and secure operation of the organization's administrative and IT functions. This role combines office administration, facilities management, vendor management, IT infrastructure, systems, and technical support to ensure employees have a well-managed, productive, and reliable work environment.
The ideal candidate will be detail-oriented, organized, and able to manage multiple tasks simultaneously, contributing to the overall success and productivity of the organization.

Position Purpose:
The Admin & IT Manager is responsible for overseeing and ensuring the smooth, efficient, and secure operation of the organization's administrative and IT functions. This role combines office administration, facilities management, vendor management, IT infrastructure, systems, and technical support to ensure employees have a well-managed, productive, and reliable work environment.
The ideal candidate will be detail-oriented, organized, and able to manage multiple tasks simultaneously, contributing to the overall success and productivity of the organization.
Education & Professional Qualification:
- Degree(s)/Major(s): Bachelors or Masters in a relevant field from a reputed local/foreign University.
- Certification(s): Not mandatory, but certification in a relevant field is a plus.
- Minimum 2 year experience in Administrative role.
- Provide comprehensive administrative support to ensure smooth and efficient office operations in coordination with HR and Finance.
- Organize and maintain office inventory, records, files, and documentation systems.
- Handle official correspondence, emails, phone calls, and other administrative communications efficiently.
- Manage petty cash, maintain accurate records, and reconcile expenditures on a regular basis.
- Prepare, document, and process invoices, receipts, purchase orders, and other administrative documents.
- Monitor office supplies and inventory levels and coordinate with vendors to ensure timely replenishment before items run out.
- Manage and supervise office support staff, ensuring daily tasks, cleanliness, tea/refreshment services, and other assigned responsibilities are completed properly.
- Coordinate with drivers regarding employee transportation, official trips, pick-and-drop schedules, and other transportation-related requirements.
- Manage relationships with vendors and service providers, including quotations, orders, deliveries, payments, maintenance, and service follow-ups.
- Ensure the proper functioning and maintenance of office equipment and coordinate with relevant vendors for repairs, servicing, and technical support.
- Monitor office cleanliness, hygiene, and general upkeep, ensuring required standards are consistently maintained.
- Ensure adherence to company policies, administrative procedures, and workplace guidelines.
- Maintain proper records of administrative activities, vendor dealings, purchases, and office-related expenses for reporting and audit purposes.
- Generate and maintain reports related to office operations, administrative expenses, and compliance.
- Coordinate with HR, Finance, and other departments to address and resolve day-to-day administrative requirements.
- Excellent attention to detail and ability to manage confidential information.
- Proficiency in Microsoft Office Suite and office management/administrative tools.
- Organize and coordinate company events, employee activities, and official gatherings.
- Manage office trip arrangements, including transportation, accommodation, itineraries, and other travel-related requirements.
- Track project timelines, administrative tasks, and deadlines while assisting with task prioritization.
- Address and resolve administrative, operational, and facility-related issues efficiently.
- Coordinate and manage with vendors, and service providers to ensure timely resolution of operational requirements.
- Identify opportunities to improve administrative processes, systems, and overall operational efficiency.
- Support the implementation and monitoring of administrative and IT-related processes and procedures.
- Ensure effective coordination of office resources, facilities, equipment, and support services.
