Responsibilities
- Monitor executive email inboxes regularly, draft clear and professional responses, and prioritize incoming messages to ensure timely attention to important communications.
- Manage complex calendars by scheduling, rescheduling, and confirming appointments, meetings, and events while avoiding conflicts and ensuring all commitments are met.
- Act as the primary liaison for incoming and outgoing phone communications, providing excellent client service and representing the company professionally with international contacts.
- Organize, maintain, and oversee both physical and digital filing systems to ensure information is accessible, up-to-date, and securely handled with confidentiality.
- Prepare, edit, and proofread business documents including correspondence, reports, and presentations to support senior management activities.
- Conduct detailed online research and make travel arrangements, booking flights, accommodation, and itineraries to meet executive travel needs efficiently and cost-effectively.
- Track daily tasks and follow-up activities to guarantee completion of action items and deadlines, ensuring smooth workflow and accountability within the team.
- Supervise and coordinate a team of 10 persons, assigning tasks, monitoring progress, and providing guidance to optimize operational effectiveness and maintain high standards of work.
- Maintain a professional and polished presence in the office, embodying the companys values and fostering a respectful and productive working environment.
- Handle sensitive and confidential information with discretion, demonstrating trustworthiness and ensuring privacy of corporate and personnel data.
- Support day-to-day office administrative duties such as organizing meetings, managing office supplies, and facilitating communications among departments.
