Role Overview:
The IT Officer is responsible for ensuring the smooth and efficient operation of all IT-related activities at the facility managed by RIZ Consulting. This includes managing and maintaining the data server (where applicable), providing IT support to various stakeholders present at the facility, handling IT-related inventory and supplies, and supporting large-scale video conferencing and meetings. The role requires a proactive approach to problem-solving and a commitment to maintaining the highest standards of IT service delivery in line with customer service standards and the organisation's established Policies and procedures.
Responsibilities
IT Support and Maintenance:
Reporting directly to the IT Manager (technically) at the Head Office and administratively to the Office and Facilities Manager at the facility/ duty station.

The role requires a proactive approach to problem-solving and a commitment to maintaining the highest standards of IT service delivery in line with customer service standards and the organisation's established Policies and procedures.
Responsibilities
IT Support and Maintenance:
- Provide comprehensive IT support to all stakeholders at the facility (both internal and external) using best practices.
- Troubleshoot and resolve hardware, software, and network-related issues promptly.
- Ensure all IT systems and services are operational and meet user requirements.
- Install, configure, and maintain IT equipment, including computers, printers, scanners, and networking devices.
- Oversee the day-to-day operation of the on-site data server, ensuring optimal performance and security.
- Perform regular backups and recovery procedures, ensuring data integrity and availability.
- Implement best practices for server management, including patch management, security updates, and performance monitoring.
- Manage user access and permissions, ensuring only authorised personnel can access sensitive data.
- Manage the local area network (LAN), WiFi and Bandwidth matters and ensure reliable and secure connectivity.
- Monitor network performance and troubleshoot any connectivity, bandwidth, or security issues.
- Implement and maintain firewalls and other network security measures to protect the facility’s IT infrastructure from external threats.
- Verify and manage the inventory of IT-related supplies, including computers, peripherals, software licenses, and networking equipment on-site, and report to the line manager on stock availability.
- Monitor the usage of IT supplies and ensure that adequate stock levels are maintained, including when the Admin Officer needs to arrange new supplies.
- Coordinate with the Admin department and Office Manager to procure IT equipment and services when required.
- Maintain accurate records of all IT assets, conduct regular internal spot checks to verify inventory levels, and report back to the Head Office at a determined frequency.
- Provide training and support to users on IT systems, applications, and best practices.
- Develop and distribute user guides and documentation to assist with everyday IT tasks.
- Conduct regular IT awareness sessions to promote the best IT security and data management practices.
- Conduct staff refreshers on applicable policies and procedures, including those for the IT Assistant (where applicable).
- Implement and enforce IT policies and procedures as established by RIZ Consulting.
- Monitor and manage software licenses, firewalls, antivirus, and other privacy and security measures.
- Ensure compliance with IT security protocols and data protection regulations.
- Regularly review and update on-site IT policies to reflect changing needs and technologies.
- Manage large-scale video conferencing needs, ensuring seamless setup and operation for multiple stakeholder meetings.
- Provide technical support during video conferences and meetings, including troubleshooting connectivity or equipment issues.
- Ensure video conferencing software, equipment, and licenses are up-to-date and functioning correctly.
- Assist in formulating the annual IT budget for the project, providing insights on anticipated IT needs, upgrades, and replacements.
- Monitor IT expenditures in line with projections, in coordination with the Office Manager, to ensure alignment with the budget and identify cost-saving opportunities.
- Develop and maintain a disaster recovery plan for the facility’s IT systems.
- Test and update the disaster recovery plan regularly to ensure preparedness in an IT emergency.
- Work closely with other departments within the facility to understand their IT needs and provide appropriate support.
- Coordinate with RIZ Consulting’s central IT team to ensure alignment with corporate IT strategies and standards.
- Provide regular reports to the Office Manager and Head Office focal person on IT operations, issues, and improvements.
- Bachelor’s degree in computer science, Information Technology, or a related field.
- Minimum of 3-5 years of experience in IT support, network administration, or a similar role.
- Certification in CCNA, ITIL, CompTIA A+, Network+, or similar is preferred.
- Proficiency in network administration, hardware troubleshooting, and Video Conferencing.
- Strong communication skills and ability to collaborate effectively with diverse teams.
- They must conduct themselves honestly and with integrity and have a solid ethical foundation.
- Must be comfortable saying “no” when necessary and be result-oriented.
