Job Overview

The Sales Operations Specialist will play a critical role in optimizing our sales processes, owning our CRM systems (HubSpot and Airtable), and ensuring the efficiency and effectiveness of our sales operations.

This role will lead weekly sales routines, maintain list hygiene, execute marketing campaigns, and track key performance metrics to support a growing sales team of 5-8 members within the next 12 months.

This is a builder role. You will own the systems, the data, and the output.

The ideal candidate is an experienced sales operations professional with strong organizational skills, personal initiative, and fluency in English.

Key Responsibilities

CRM Ownership & Management:

  • Configure, customize, and troubleshoot HubSpot and Airtable to support sales and marketing workflows
  • Ensure seamless integration and data accuracy across CRM platforms
  • Capture and log MQLs from marketing agencies and internal marketing teams, ensuring they are assigned to the sales team efficiently

Sales Routines & Forecasting

  • Lead weekly sales pipeline review meetings, facilitating discussions on opportunities, bottlenecks, and next steps
  • Develop accurate sales forecasts and provide actionable insights to improve sales team performance
  • Take detailed meeting notes, assign action items, and ensure timely follow-up

List Hygiene & Campaign Execution

  • Maintain list hygiene through data enrichment, segmentation, deduplication, and validation of contact information against client lists
  • Track inbound channel sources to ensure accurate data attribution
  • Execute and manage campaigns (email, social media) linked to LumidaDeals.com, including creating and A/B testing sales scripts to optimize outreach effectiveness

Performance Tracking & Dashboards

  • Build and maintain dashboards in HubSpot and Airtable to track key performance indicators including conversion rates, deal closure rates, and sales personnel productivity (inbound inquiry volume, speed of response)
  • Monitor and report on sales team productivity and campaign performance to drive data-driven decisions

Data Ownership & Process Integrity

  • Own the accuracy, completeness, and validity of all sales data across HubSpot, Airtable, and connected systems. Not just maintenance, but accountability for what the data says and whether it can be trusted
  • Proactively identify gaps, inconsistencies, or blind spots in existing workflows, funnels, and reporting. Propose fixes before being asked
  • Lead periodic audits of pipeline data, attribution sources, and campaign performance to ensure decisions are being made on clean inputs
  • Initiate and drive special projects that critique existing systems, whether that is rebuilding a broken funnel stage, pressure-testing a sales script, or redesigning a reporting structure. See them through to completion

Qualifications

  • Experience:
    • Minimum 3-5 years of experience in sales operations, with a proven track record of managing CRM systems (HubSpot and Airtable experience preferred).
    • Experience in wealth management, fintech, or related industries is a plus.
    • Familiarity with sales methodologies (e.g., Chris Voss’s Never Split the Difference or similar frameworks) is an advantage.
  • Skills:
    • AI & Automation: Hands-on fluency with Claude (Cowork/API), Zapier, Google Apps Script, HubSpot workflow automation, and similar tools. Must be able to independently scope, build, and maintain automations. Not just execute pre-built ones
    • Analytical Depth: Advanced Google Sheets and Excel, including pivot tables, complex formulas, and data modeling. Able to map and visualize full funnel flows, define and track conversion metrics at each stage, and go deep on data when something looks off
    • Data Ownership Mindset: Does not treat CRM hygiene as a task list. Understands that bad data produces bad decisions and takes personal ownership of preventing that
    • CRM Configuration: Able to build, customize, and troubleshoot HubSpot workflows, pipelines, and dashboards independently
    • Communication: Strong written and verbal English. Able to run pipeline reviews, write crisp notes, and present findings to a US-based director without hand-holding
  • Other Requirements:
    • Comfortable working in a fast-paced, collaborative environment with a sales team expected to grow to 5-8 members within 12 months.
    • Ability to work in Karachi, Pakistan, with regular coordination with the Director of Sales in New Jersey, USA during ET hours.
