Summary:
This role is designed for a Senior Legal Professional who will serve as the Executive Assistant and Secretary to the Managing Partner, with a career path toward full-time Operations Management within the law firm. The position blends legal expertise, strategic administrative support, and executive-level coordination. In the first 3 months, the role will focus on legal documentation, client coordination, and executive support. After the probationary period, it will transition into a leadership role managing firm-wide operations, paralegal oversight, and process optimization. This is a unique opportunity for a seasoned lawyer looking to evolve into a senior operational role within a fast-paced, high-growth legal environment.
Responsibilities
Initial Focus (First 3 Months):
- Provide high-level legal and executive assistance to the Managing Partner.
- Draft, review, and edit legal correspondence, contracts, pleadings, and internal memoranda.
- Coordinate internal and external communications, including calls, emails, meeting agendas, and follow-ups.
- Maintain the Managing Partner’s calendar, schedule meetings, and prepare background material.
- Learn and master all paralegal responsibilities as outlined in the firm’s "Paralegal Requirements" document.
- Become proficient in the firm’s practice management software.
- Manage confidential case records and assist with document tracking and compliance.
Post-Probation / Ongoing Responsibilities:
- Oversee and manage the day-to-day operations of the law firm under the direction of the Managing Partner.
- Lead and mentor a team of paralegals, legal support staff, and administrative professionals.
- Develop and implement operational workflows and internal process improvements using legal practice management tools.
- Create and enforce standard operating procedures (SOPs) across various departments and case types.
- Coordinate performance tracking through Key Performance Indicators (KPIs) and reporting systems.
- Schedule and manage internal meetings, prepare agendas, and ensure actionable followups.
- Support the discovery process by drafting or reviewing requests, interrogatories, and compliance documents.
- Conduct legal research and provide analysis on a range of case matters.
- Serve as a liaison between leadership and external counsel or clients, ensuring clarity and follow-through.
- Ensure firm-wide compliance with all legal, regulatory, and ethical requirements.
- Represent the Managing Partner in internal project meetings when delegated.
- Any other operational, administrative, or legal tasks as assigned.
Qualifications
- Minimum 8+ years of legal experience in civil/commercial litigation, contract drafting, legal research, and regulatory matters.
- Strong understanding of judgment enforcement, collections, and litigation procedures.
- Demonstrated ability to manage teams and drive operational success.
- Excellent drafting, verbal communication, and negotiation skills.
- Experience in administrative compliance, SOP design, and law firm operations.
- High discretion and professionalism in handling confidential information.
- Proficiency in Microsoft Office Suite and legal practice management software.
- Experience with Salesforce, Clio, or similar tools is a plus.

Timing: 8:00 pm to 5:00am (Night Shift)
