Position Overview:

The Legal Project Coordinator will provide administrative and organizational support to the legal department, focusing on coordinating and managing corporate governance, legal documentation, and key legal projects. This role requires a high level of attention to detail, proficiency in document management systems, and the ability to work collaboratively with teams across different time zones. The successful candidate will also assist in tasks related to mergers and acquisitions, insurance-related activities, and corporate entity formation.

Key Responsibilities:

  • Work closely with internal teams to provide administrative and organizational support for legal projects, ensuring effective communication across different time zones.
  • Assist in the formation and management of corporate entities, including drafting templated documents, resolutions, and coordinating signatures.
  • Use entity management software to organize, file, and maintain corporate records, including electronic minute books. Ensure records are properly archived and accessible.
  • Establish and maintain organized document management systems, applying consistent naming conventions and tracking important deadlines such as annual filings and other key dates.
  • Assist with annual filings and governance documentation, including director and officer changes, ensuring timely and accurate submission.
  • Support the coordination of insurance-related tasks, including the timely cancellation of pre-existing policies for newly acquired entities and preparation for policy renewals.
  • Assist in drafting, reviewing, and preparing various legal documents such as contracts, amendments, legal letters, and notices. Ensure these documents are consistent with templates and align with both legal and business requirements.


Requirements

Required Skills:

  • Minimum of 2-3 years of experience as a legal assistant, with prior knowledge and experience in corporate governance or legal documentation preferred. Exposure to transactional work (such as mergers and acquisitions) is a valuable bonus.
  • Strong command of English, both written and verbal, with excellent communication skills.
  • Proficiency in legal document management systems, or the willingness to learn.
  • Exceptional organizational skills with strong attention to detail and the ability to manage multiple deadlines effectively.
  • Strong interpersonal skills and the ability to work collaboratively with international teams.


Education & Experience:

  • Bachelor’s degree in law, business administration, or a related field.
  • Alternatively, candidates with legal assistant college training, relevant course certifications, or equivalent practical experience are encouraged to apply.
