Job Overview
The Manager – Record Retention is responsible for developing, implementing, and overseeing the Bank’s record retention and archiving framework. The role ensures accurate classification, secure retention, timely retrieval, digitization, and disposal of physical and digital records in compliance with approved policies, SBP regulations, Shariah guidelines, and the Record Retention Matrix. The incumbent leads governance, audit readiness, risk management, and team capability development to strengthen the Bank’s records management function.
Key Responsibilities
- Develop, implement, and oversee the Bank’s Record Retention, Archiving, and Document Management framework.
- Manage the end‑to‑end lifecycle of records, including classification, retention, digitization, archival, retrieval, legal hold, and secure destruction.
- Ensure compliance with SBP regulations, AML/CFT requirements, audit obligations, and internal policies.
- Establish governance, internal controls, quality assurance, and information security practices.
- Review and approve archival, retrieval, and destruction requests with proper authorizations and audit trails.
- Oversee archive inventories, document movement, tracking mechanisms, and the Document Management System (DMS).
- Develop and report KPIs, KRIs, SLAs, MIS, and dashboards to senior management.
- Lead digitization, workflow automation, and process optimization initiatives.
- Manage vendor relationships for archive storage, digitization, and document management services.
- Coordinate with internal and external stakeholders on records management, litigation support, and regulatory requests.
- Lead audit engagements, ensuring timely closure of observations and corrective actions.
- Identify and mitigate operational, regulatory, and third‑party risks related to records management.
- Ensure Business Continuity and Disaster Recovery arrangements for records management processes.
- Review and update Record Retention Policies, SOPs, and governance documents.
- Lead, coach, and develop the Records Management team.
- Prepare management reports, committee papers, and strategic recommendations.
- Perform any other responsibilities assigned by the Line Manager.
Experience & Qualification Required
- 6+years of experience in records governance, document control, or banking operations.
- Prior exposure to regulatory compliance, audit management, vendor management, and digitization initiatives will be preferred.
- Bachelor’s/Master’s degree in Business Administration, Banking & Finance, Commerce, Economics, or related discipline.
