Job Description
- Serve as the central point of communication between teams, clients, and stakeholders.
- Attend meetings, give briefings, participate in discussions, and follow up on action items from previous meetings.
- Handle contract preparation, NDA documentation, client onboarding, invoice processing, and manage processes and payment reminders.
- Manage business development activities: research, client outreach, and scheduling meetings.
- Maintain clear and professional client communication to ensure expectations are met.
- Track and follow up on tasks, projects, and commitments to ensure deadlines are met.
- Identify potential bottlenecks in processes and implement solutions to improve workflow.
- Work full-time in alignment with North America time zones to support teams and clients.
Requirements
- Minimum 2 years of experience as an Executive Assistant, Business Development Assistant, or similar role.
- Must be available to work full-time according to North America time zones.
- Experience working remotely with international teams across different time zones.
- Highly active, proactive, and able to multitask efficiently.
- Strong written and verbal communication skills.
- Excellent documentation skills and attention to detail.
- Experience with productivity, CRM, and accounting tools such as Notion, QuickBooks, HubSpot, or similar.
- Ability to manage multiple tasks independently and follow through consistently.
- Flexible and adaptable to changing priorities.
